How to manage roles?

View existing roles and create custom roles to define your users' permissions

Introduction

Roles define your users’ permissions and access in Qwoty: possible actions on quotes, back-office access, etc. Qwoty offers predefined system roles, and you can create custom roles tailored to your organization.

✍️ Prerequisites : You must have the Admin role to access this screen.

Access

  1. In the left side menu, click Settings
  2. Click Roles

View the list of roles

The screen displays the list of all available roles:

  • Role : Role name
  • API name : Technical identifier for integrations
  • Type : System (green) or Custom (gray)

System roles

Qwoty provides four default system roles, identified by the System badge:

  • Admin : Full access to the application and all workspaces
  • Manager : Access to the entire workspace
  • Sale : Access to the front office and quote creation
  • View only : View-only, no editing possible
💡 Tip : System roles cannot be modified or deleted to ensure Qwoty works properly. However, you can view their permissions by clicking View in the context menu.

Custom roles

Custom roles are identified by the Custom badge. They can be modified and deleted as needed.

Search for a role

Use the search bar at the top of the screen to filter the list by name or API name.

Navigate the list

At the bottom of the table, you can:

  • Change the number of rows displayed per page via the Rows per page menu
  • Navigate between pages using the pagination buttons

Create a new role

  1. Click the + New role button at the top right
  2. A new page opens to configure your custom role

View a system role

  1. Find the system role to view in the list
  2. Click the menu to the right of the row
  3. Select View
  4. The role details page is displayed in read-only mode

Edit a custom role

  1. Find the custom role to edit in the list
  2. Click the menu to the right of the row
  3. Select Edit
  4. Make your changes, then save

Delete a custom role

  1. Find the custom role to delete in the list
  2. Click the menu to the right of the row
  3. Select Delete
  4. Confirm deletion
⚠️ Warning : Before deleting a custom role, check that no user is using it. The affected users will need to be reassigned to another role.
