How to manage pricebooks (pricing grids)?

Create and configure fixed or dynamic pricing grids to adapt your pricing to each commercial context

Introduction

Price lists (pricebooks) are the foundation of your pricing strategy in Qwoty. They let you define different prices depending on business contexts: by country, by customer segment, by sales channel, etc.

A pricebook is always indexed either to a catalog (Fixed type) or to another existing pricebook (Dynamic type). This structure makes it possible to create flexible price hierarchies.

✍️ Prerequisite : When you create your Qwoty account, a Standard pricebook and a Standard catalog are automatically created.

Access

  1. In the left side menu, click Products and prices
  2. Click Pricebooks

View the list of pricebooks

The list displays all your pricebooks with the following information:

  • Status : Active or Inactive
  • Name : Pricebook name
  • Reference : Technical reference
  • Type : Fixed or Dynamic
  • Currency : Associated currency
  • Catalog : Linked catalog (for fixed pricebooks)
  • Update : Last updated date

Use the search bar to filter pricebooks. Click Export or Import to manage your data in bulk.

Understand the types of pricebooks

Qwoty offers two types of price lists:

Fixed Pricebook

A fixed pricebook is directly linked to a catalog. Prices are defined manually for each product in the catalog.

💡 Example : A "France EUR" pricebook linked to the "France Catalog" catalog with fixed prices in euros.

Dynamic Pricebook

A dynamic pricebook is indexed to another existing pricebook. Prices are calculated automatically from the base price list by applying a calculation rule.

💡 Example : A "Partners -10%" pricebook based on the "Standard" pricebook with a multiplication rule by 0.9.

Create a pricebook

  1. Click + New Price book at the top right
  2. A modal opens to choose the type of price list

Create a Fixed pricebook

⚠️ Warning : You must have created a catalog beforehand to be able to create a fixed pricebook.

A catalog can have several associated pricebooks, but a pricebook can only be associated with a single catalog. This logic makes it possible to define multiple price lists for the same set of products depending on different contexts: for example, a pricebook in EUR and another in USD for the same catalog, or different prices depending on customer segments (Standard, Premium, Partners).

  1. Select Fixed : "Use fixed prices based on the linked catalog"
  2. Catalog : Select the catalog to link
  3. Currency : Choose the currency (EUR, USD, etc.)
  4. Click Continue

Create a Dynamic pricebook

  1. Select Dynamic : "Automatically calculate prices using dynamic rules based on a base price list"
  2. Base price list : Select the source pricebook
  3. Currency : Choose the currency
  4. Click Continue

Configure a pricebook

After creation, you access the full configuration page.

General information

  • Pricebook Name : Price list name
  • Reference : Technical reference
  • Category : Classification category
  • Description : Detailed description

Configuration

For a Fixed pricebook:

  • Pricebook type : Fixed pricebook (read-only)
  • Linked catalog : Linked catalog (read-only, set at creation)
  • Currency : Currency
  • Set default tax on prices : Default VAT applied to prices
  • Valid from / Valid to (optional) : Price list validity dates

For a Dynamic pricebook:

  • Pricebook type : Dynamic pricebook (read-only)
  • Linked pricebook : Indexed price list (read-only, set at creation)
  • Currency : Currency
  • Default tax : Default VAT
  • Type : Calculation rule to apply
    • Addition : Base price + parameter
    • Subtraction : Base price - parameter
    • Multiplication : Base price × parameter
    • Division : Base price ÷ parameter
  • Parameter : Numeric value of the calculation
  • Valid from / Valid to (optional) : Validity dates
💡 Dynamic calculation example : To apply a 10% discount on all prices, use Type = Multiplication and Parameter = 0.9. To increase prices by 2%, use Type = Multiplication and Parameter = 1.02. This way, your prices will be indexed to the base price list: you only have to maintain the source price list and adjust the calculation index. Any change to prices in the base price list will automatically be reflected in the associated dynamic price lists.

See where the pricebook is used

The Pricebook used in section displays the items that use this price list:

  • Template : Associated quote templates
  • Customer : Customers using this price list
  • Segment : Associated customer segments

Click the links to access the relevant items directly.

Manage products and their prices

The Products section lists all products with their prices configured on this price list:

  • Product : Product name
  • Variant : Related variant
  • Type : Pricing model (Flat, Tiered, etc.)
  • Price : Configured price
  • VAT : VAT rate

Click the menu to edit a product's price. Use Export and Import to manage prices in bulk.

💡 Tip : Import/export is particularly useful for quickly updating the prices of many products.

Enter external identifiers

If you use external systems, enter the corresponding identifiers:

  • CRM ID : Identifier in your CRM
  • ERP ID : Identifier in your ERP
  • ID Accounting : Identifier in your accounting software

Set the status

In the right-hand sidebar:

  • Status : Activate or deactivate the pricebook
  • Api name : Technical identifier (read-only after creation)
  • ID : Automatically generated UUID

View activity

The Activity section displays the history of changes made to the pricebook.

Save

Once configuration is complete, click Save at the top right.
