How to manage forms?

Configure the forms displayed to your clients in the DealRoom to collect their information

Introduction

Forms allow you to collect information from your customers directly in the DealRoom: billing address, shipping address, or any other custom information. Qwoty provides default system forms, and you can create your own forms according to your needs.

✍️ Prerequisites : You must have the Admin role to access this screen.

Access

  1. In the left side menu, click Settings
  2. In the Workspace section, click Forms

View the list of forms

The screen displays the list of all your forms:

  • Status : Active (green) or Inactive
  • Name : Form name
  • Type : Form type (Billing, Shipping) with a “system” badge for native forms

System forms

Qwoty automatically creates two default forms, identified by the system badge:

  • Billing Form : Billing form (customer billing address)
  • Shipping Form : Shipping form (customer shipping address)
💡 Tip : System forms cannot be edited or deleted. If you want to customize these forms, create a new Billing or Shipping form.

Search for a form

Use the search bar at the top of the screen to filter the list by name or type.

Navigate the list

At the bottom of the table, you can:

  • Change the number of rows displayed per page via the Rows per page menu
  • Navigate between pages using the pagination buttons

Create a new form

  1. Click the + New form button at the top right
  2. A window opens with three options :
    • Billing form : To collect billing information
    • Shipping form : To collect shipping information
    • Custom form : To create a free-form with your own fields
  3. Select the desired type to access the configuration screen

Edit a form

  1. Locate the form to edit in the list
  2. Click the menu to the right of the row
  3. Select Edit
  4. Make your changes and then save
⚠️ Warning : System forms (identified by the “system” badge) cannot be edited.

Delete a form

  1. Locate the form to delete in the list
  2. Click the menu to the right of the row
  3. Select Delete
  4. Confirm deletion
⚠️ Warning : System forms cannot be deleted. Also check that a custom form is not used in an active quote template before deleting it.
