How to manage contract templates?
Create reusable contract templates with dynamic variables to automate your contractual documents
Introduction
Contract templates allow you to create standard contract documents that will be automatically customized with the quote and customer information. Thanks to dynamic variables, you write your contract content (NDA, T&Cs, service agreement, etc.) only once and Qwoty automatically inserts the appropriate data: customer name, address, start date, amount, etc.
These templates can be linked to specific quote templates, ensuring that the right contract is automatically suggested depending on the type of sale. This association makes it easier to create complete and consistent sales proposals, in line with your company's contractual rules.
You can also define contractual parameters (term, renewal, notice) and choose which ones can be modified by sales reps when creating a quote.
Access
- In the left side menu, click Content
- Click Contract templates
View the list of contract templates
The list displays all contract templates configured in your workspace with the following information:
- Status : Active or Inactive
- Title : Name of the contract template
- Reference : Technical reference
- Category : Contract category
- Language : Contract language
- API name : Technical identifier
- Updated : Last modified date
Use the search bar to find a specific template.
Create a contract template
Creating a contract template lets you define a reusable standard document for your quotes.
- Click + New contract template at the top right
- Fill in the general information:
- Name * : Template name (e.g.: Enterprise NDA, Standard T&Cs, Maintenance contract)
- Reference * : Technical reference
- Language : Contract language
- Category : Category to organize your templates
- Link the template to existing items:
- Linked templates : Quote templates that will use this template
- Linked products : Products that will trigger the use of this template
- In the right side panel, set the Status (Active/Inactive)
Write the contract content
The Contract block contains a rich text editor to write the content of your contract document.
Formatting tools
The editor provides the following tools:
- Text style (headings, paragraphs)
- Bold, Italic, Underlined
- Alignment (left, center, right, justified)
- Line break
Insert variables
Variables allow you to automatically insert quote or customer data into the contract. They appear as badges in the editor.
Available variables:
- Customer name : Customer company name
- Address : Customer address
- Buyer name : Buyer contact name
- Start date : Contract start date
- And other variables depending on your configuration
Configure contract fields
The Contract fields block lets you define contractual parameters. For each field, you can check Editable by sales rep to allow changes when creating the quote.
Term type
Select the contract term type:
- Fixed Terms : Fixed term
- Permanent : Open-ended term
- Instant execution : Immediate execution
Term (months)
Enter the contract term in months (for fixed-term contracts).
Renewal type
Select the renewal mode:
- None : No automatic renewal
- Tacit : Tacit renewal
Renewal term (months)
Enter the length of each renewal period in months.
Notice
Indicate whether notice is required:
- Yes : Notice required
- No : No notice
If you select Yes, enter the Notice period (months).
Fill in custom fields
The Custom fields block lets you add information specific to your business.
For each custom field:
- Enable the field using the toggle
- Enter the default value
- Check Editable by sales rep if needed
Fill in external identifiers
If you use external systems, fill in the corresponding identifiers:
- CRM ID : Identifier in your CRM
- ERP ID : Identifier in your ERP
- Accounting ID : Identifier in your accounting software
Export and import templates
Qwoty lets you manage your contract templates in bulk:
- Export : Click Export to download your templates
- Import : Click Import to import templates from a file
Save
Once configuration is complete, click Save at the top right.
