How to edit a quote?
Build your sales proposals with the quote editor
Introduction
The quote editor is the central space where you build your sales proposals. There you add content blocks, organize your products into sections, configure contracts, and prepare your quote to send to the customer.
Access
From Project > Quotes, click on an existing quote or create a new one with the New quote button.
Editor overview
The editor is made up of several areas:
- Central area : Content blocks, product sections, contracts
- Left sidebar : Summary of amounts and KPIs
- Header : Actions (Save, Preview, Submit for approval, Publish)
Manage content blocks
Content blocks allow you to enrich your quote with marketing elements (presentation, arguments, visuals).
Three types of blocks:
- Preloaded blocks : Automatically added depending on the selected template
- Available blocks : Blocks configured in your workspace, to be added manually
- Blank block : Create custom content with the rich editor
For each block, you can:
- Edit the content with the rich editor (headings, text, images, links)
- Reorder blocks by drag-and-drop
- Delete a block
Manage product sections
Products are organized into sections. Each section can contain only one type of product:
- One-off section (One-off) : Products billed only once. This includes one-off services (onboarding, installation, training), but also manufactured products, consumer goods, or merchandise for the industry and retail sectors.
- Plan section : Recurring products such as subscriptions or licenses
This separation makes it possible to apply global actions to the section (e.g., change the billing frequency for all recurring products).
Add a section
Click Add a section and choose the type: One-off or Plan.
Configure a section
Click the section’s ⚙️ icon to access the options:
- Title : Name the section to structure your quote
- Type :
- Standard : Products included by default in the quote
- Selection : The customer chooses from the products (configure the min/max number of choices)
- Optional : The entire section is optional; the customer decides whether to include it or not
- Display :
- Line : Table display
- Block : Display as visual cards
- Show subtotal only : Hides detailed line prices, shows only the section total
- Metadata : Add custom information
Add and configure products
Add a product
- In a section, click Add a product.
- Search for and select the product from the catalog.
- The product is added to the section with its default price.
Edit a product line
For each line, you can directly edit:
- Quantity (Qty)
- Unit price
- Discount (in % or as an amount)
The Net unit price and the Line total are calculated automatically.
Line options
Click a line’s ⚙️ icon to access advanced options:
- Optional product : The customer can choose whether or not to include this product
- Free quantity : The customer can change the quantity in the DealRoom
- Pay-as-you-go : Enables usage-based billing
- VAT : Select the applicable VAT rate
Actions on a line
- ✏️ Edit product details
- ⚙️ Access options
- 📋 Duplicate line
- 🗑️ Delete line
Manage contracts
The Contract section groups the contractual documents associated with the quote.
Preloaded contracts : The contracts configured in the template are automatically added. Some can be marked as Mandatory (required).
Add a contract : Click + contract to add an additional document from those configured in your workspace.
For each contract, configure:
- Start date : Start date
- Duration (months) : Duration in months
- Renewal type : Renewal type (Tacit, etc.)
- Renewal duration : Renewal duration
- Prior notice : Required notice
- Notice duration : Notice duration
All added documents will be presented to the customer in the DealRoom for review and electronic signature (eIDAS level 1 certification).
View the summary
The Summary displays in real time:
- One-off amount : Total one-off products
- Recurring amount : MRR (Monthly Recurring Revenue) and/or ARR (Annual Recurring Revenue)
- Subtotals by section
- Taxes
- Grand total
Save and publish
Save
Click Save to save your quote as a Draft. You can come back to it at any time.
Submit for approval
If your quote triggers an approval rule (e.g., amount above a threshold, insufficient margin, discount too high), you must submit it for validation before publishing.
- Click Submit for approval.
- The quote moves to Pending approval status.
- Once approved, you can publish it.
Publish
Click Publish to send the quote to the customer. It becomes accessible in the DealRoom where the customer can view it, comment, negotiate, and sign.
