How to edit a product variant?

Customize each variant by configuring its prices, images, and specific characteristics

Introduction

Once the variants are generated from the master product, you must configure each variant individually: its prices, its shipping characteristics, its inventory, etc. Some information is inherited from the master product (name, reference), while others can be customized or inherited depending on your needs.

To save time, you can also import your data from Excel files and update multiple variants in a single operation.

💡 Tip : Before creating your variants, carefully configure your master product. Items common to all variants (description, image) can be inherited automatically, which saves you time.
✍️ Prerequisite : You must have created the master product and generated its variants.

Access

  1. In the left side menu, click on Products and prices
  2. Click on Products
  3. Open the master product containing the variants
  4. In the Variants section, locate the variant to edit
  5. Click on the menu then select Edit

Understanding master product inheritance

When you edit a variant, some information comes from the master product:

  • Name and Reference : These fields are inherited from the master product and cannot be edited at the variant level. If you need to change them, edit the master product.
  • Image and Description : These fields have a Inherit from product toggle. When enabled, the variant automatically uses the master values. When disabled, you can customize these items for this specific variant.
💡 Tip : Use inheritance for common elements and customize only what differs between variants. For example, keep the same description but change the image to show the variant’s specific color.

Fill in general information

In the General information block:

  • Product name : Inherited from the master (not editable)
  • Reference : Inherited from the master (not editable)
  • Main image : Enable Inherit from product to use the master image, or disable to upload an image specific to this variant
  • Description : Enable Inherit from product to use the master description, or disable to write a custom description

Configure prices

The Prices block lets you define pricing specific to this variant.

  • Units per Pack : Number of units per pack

The table shows the configured prices:

  • Pricebook : Associated price list
  • Recurring : Billing frequency (One-off, Every month, etc.)
  • Type : Pricing type (Flat, etc.)
  • Price : Unit price
  • VAT : Applicable VAT rate
⚠️ Warning : Prices must be configured individually for each variant. An XL T-shirt can have a different price than an S T-shirt.

Add an associated file (Asset)

The Asset block allows you to associate a downloadable file specific to this variant (datasheet, documentation, etc.).

  1. Click on Import to upload a file or Select existing file to choose an existing file
  2. Added files appear as tags (File 1, File 2, etc.)

Configure custom fields

The Custom fields block displays the custom fields defined for the Product object.

For each field, you can set:

  • Mandatory : The field must be filled in
  • Editable by sale : The sales rep will be able to edit the field content
  • Display for customer : The field is visible to the customer in the quote

Define relationships between products

The Product-to-product relationship block allows you to create links specific to this variant:

  • Requires : Required products (must be purchased together)
  • Substitute : If the variant is out of stock, it will be replaced by this one
  • Upsell : Higher-range products to offer
  • Cross-sell : Complementary products to offer
  • Excludes : Excluded products (cannot be purchased together)
  • Link contract : Contract associated with the variant

Configure shipping

The Shipping block lets you enter logistics information specific to this variant:

  • Weight : Weight (with unit: kg, etc.)
  • Height, Length, Width : Dimensions (with unit: cm, etc.)
  • Country of origin : Country of origin
  • Harmonized System (HS) code : Harmonized System code for export
💡 Tip : Dimensions and weight may vary by variant. For example, an XL T-shirt will be heavier than an S T-shirt.

Manage inventory

The Inventory block lets you enter:

  • SKU : Unique stock-keeping reference for this variant

Configure accounting

The Accounting block lets you define:

  • Ledger account : Associated ledger account

Enter external identifiers

If you use external systems, enter the identifiers specific to this variant:

  • CRM ID : Identifier in your CRM
  • ERP ID : Identifier in your ERP
  • Accounting ID : Identifier in your accounting software

Define status and the default variant

In the right side panel:

  • Status : Enable or disable the variant
  • Api name : Technical identifier (read-only)
  • Default : Select this variant as the master product’s default variant via the dropdown
💡 Tip : The default variant is the one that will be automatically selected when adding the product to a quote.

View activity

The Activity panel displays the history of changes made to this variant.

Save

Once your changes are complete, click Save at the top right.
