How to create and configure a product?
Set up your one-time or recurring products with all their characteristics
Introduction
Qwoty allows you to create two types of products: one-time products (billed once) and recurring products (billed periodically, like a subscription). This article guides you through creating and fully configuring a product.
Access
- In the left side menu, click Products and prices
- Click Products
- Click + New at the top right
Choose the product type
A modal opens to choose the type of product to create:
- One-time product : Product with one-time fees, billed once (e.g.: setup fees, hardware purchase)
- Recurring product : Product with recurring fees, billed periodically (e.g.: subscription, monthly license)
Select the desired type then click Create.
Fill in general information
In the General information block:
- Name : Product name
- Reference : Internal reference (SKU)
- Unit type : Product sales unit
- Language : Product default language
- Image : Upload an image or select an existing file from the media library
- Description : Detailed product description (rich text editor available)
- Product type : General product category (e.g.: License, Service)
- Product category : Product sub-category
- Unit of measure : Unit used to quantify the product
Associate the product with catalogs
The Catalogs block allows you to associate the product with one or more catalogs.
- Click Add a catalog
- Select the desired catalog
- The catalog appears in the list with its status and reference
Manage variants
The Variant block allows you to create product variations (size, color, version, etc.).
Configure prices
The Prices block allows you to define product pricing according to pricebooks.
- Unit per tick : Number of units per price increment
The table displays the configured prices:
- Pricebook : Associated pricebook
- Recurring : Billing frequency (for recurring products)
- Type : Pricing type
- Price : Unit price
- VAT : Applicable VAT rate
Add an associated file (Asset)
The Asset block allows you to associate a downloadable file with the product (documentation, datasheet, etc.).
- Click Import to upload a file or Select an asset to choose an existing file
- The file will be available to salespeople and customers
Configure custom fields
The Custom fields block displays the custom fields defined in your data model for the Product object.
For each field, you can define:
- Required : The field must be filled in
- Editable by sales : The salesperson will be able to edit the field content
- Displayed for the customer : The field is visible to the customer in the quote
Define relationships between products
The Product-to-product relationships block allows you to create links between products:
- Requires : Required products (must be purchased together)
- Substitute : If the product is out of stock, it will be replaced by this one
- Excludes : Excluded products (cannot be purchased together)
- Up sell : Higher-tier products to suggest
- Cross-sell : Complementary products to suggest
- Includes : Products automatically included
- Linked contract : Contract associated with the product
Configure shipping
The Shipping block allows you to enter logistics information:
- Dimensions : Length, Width, Weight
- Customs description : Description for customs
- HS Code : Harmonized System code for export
Manage inventory
The Inventory block allows you to enter:
- SKU : Inventory management reference
Configure accounting
The Accounting block allows you to define:
- General ledger account : Posting account in your chart of accounts
Enter external identifiers
If you use external systems (CRM, ERP, accounting), enter the corresponding identifiers:
- CRM ID : Product identifier in your CRM
- ERP ID : Identifier in your ERP
- Accounting ID : Identifier in your accounting software
Define status and API name
In the right-hand side panel:
- Status : Enable or disable the product
- API Name : Automatically generated technical identifier
View activity
The Activity panel displays the history of changes made to the product.
Save
Once all fields have been filled in, click Save at the top right.
