How to configure KPIs?

Define key indicators to track on your quotes to guide your sales reps in real time

Introduction

KPIs (key performance indicators) make it possible to define the important metrics to track on your quotes: margin, total amount, discount level, etc.

Once configured, these KPIs are displayed in real time in the quote editor, on the left side of the screen. Sales reps can thus instantly see the impact of their choices (adding products, applying discounts, changing quantities) on key indicators. This real-time guidance enables them to build quotes that comply with your commercial policy without waiting for final validation.

Access

  1. In the left side menu, click on Workflow
  2. Click on KPIs

View the list of KPIs

The list displays all KPIs configured in your workspace with the following information:

  • Name : KPI name
  • Reference : Technical reference
  • Update : Date of last modification

Use the search bar to find a specific KPI.

Create a KPI

Creating a KPI allows you to define an indicator and its calculation method.

  1. Click on + New KPI at the top right
  2. Fill in the general information:
    • Name * : KPI name (e.g.: Gross margin, Discount rate, Amount excl. VAT)
    • Reference : Technical reference
    • Internal description : Description for your team

Configure the KPI calculation

The Calculation block allows you to define how the KPI is calculated.

Calculation type

Select the calculation type from the available options:

  • Manual Value : Value entered manually
  • Percentage : Calculation of a percentage
  • Comparison : Comparison between two values
  • Custom Formula : Custom calculation formula

Calculation parameters

Depending on the selected calculation type, fill in the following parameters:

  • Base value * : Value used as a reference for the calculation
  • Formula * : Calculation expression using the available variables
  • Unit : Display unit for the result (%, €, etc.)

Custom formulas

For custom formulas, you can use:

  • Mathematical operators: +, -, *, /
  • Parentheses to define the order of operations: ()
  • Variables available in Qwoty (click on View variables to see the list)
💡 Example : To calculate a margin rate, use a formula such as: (prix_vente - cout) / prix_vente * 100

Save

Once the configuration is complete, click on Save at the top right.
